  • Keep document history connected
  • Confirm ownership rules before launch

Inventory-site and pricing context

Give each rep the approved QuickBooks Desktop Enterprise inventory and price context needed to sell accurately.

  • Assigned inventory sites
  • Customer and item price levels
  • Availability for route decisions
  • Edition-dependent features reviewed

EDITION-SPECIFIC INTEGRATION SCOPE

What syncs with QuickBooks Desktop Enterprise?

Use this as a scope discussion for your implementation. Two-way integration describes the overall workflow; it does not mean every record or field moves both ways. Availability depends on your plan, enabled settings and approved mappings.

What syncs with QuickBooks Desktop Enterprise?
Record or workflowSupported directionOwnership and scope to confirm
Customers and productsQuickBooks Desktop → inSitu; eligible creation → QuickBooks DesktopTreat the company file as the accounting master. Confirm editable fields, duplicate matching and item types.
Inventory sites and price levelsQuickBooks Desktop → inSituConfirm the Desktop edition, enabled inventory features and mapping of sites, units and price levels. Validate any bin, lot or expiration requirement separately.
Estimates and Sales OrdersEligible documents: inSitu → QuickBooks Desktop; configured history → inSituThe Desktop connector supports native Sales Orders. Agree whether the rep creates an Estimate, Sales Order or Invoice and who converts it.
Invoices and balancesEligible invoices: inSitu → QuickBooks Desktop; configured invoice history/open balances → inSituConfirm taxes, accounts, approval and correction ownership.
Payments and credit memosEligible transactions: inSitu → QuickBooks Desktop; configured history → inSituConfirm allocation, payment methods, accounts and return approvals. Card processing is a separate configured service.
Inventory transfers, item receipts and adjustmentsEligible transactions: inSitu → QuickBooks Desktop; configured records → inSituRequires the applicable inventory workflow and mappings. Test each transaction type against your company file.
Purchase ordersConfigured QuickBooks Desktop purchase-order history → inSituConfirm the history scope and receiving workflow. Do not assume purchase-order creation in QuickBooks is included.
Desktop Enterprise inventory features vary by edition and configuration. Require a test of your actual company file for multi-site, bin, lot, unit-of-measure and receiving requirements. Read Intuit’s Web Connector overview.

Setup and ownership

Confirm the Desktop country edition, version, company file and hosting environment. Install and authorize QuickBooks Web Connector on the appropriate Windows machine, then agree its schedule and map customers, items, accounts, taxes and inventory sites.

Agree who can edit each record and which system wins when values differ. Reconcile a small sample before expanding access.

Timing and sync checks

QuickBooks Web Connector initiates scheduled or manual exchanges. The Windows host and company file must be available for the configured connection. Offline mobile work reaches QuickBooks only after the device reconnects and the accounting sync completes.

Confirm the expected schedule during onboarding. Check the resulting record and balance in both systems; this page does not promise an instant update or fixed interval.

Bring these six checks to your demo

  1. Match one customer and item. Check tax, terms, units and price; confirm which system owns each field.
  2. Create one field order. Verify the exact QuickBooks document, line quantities, discounts and tax total.
  3. Complete the invoice and payment flow. Confirm invoice allocation, the payment account and the balance returned to the rep.
  4. Test a return. Check approval, credit memo and inventory treatment for your workflow.
  5. Work offline, then reconnect. Check what is available on the device and verify the final QuickBooks record after synchronization.
  6. Reconcile a failed sync. Agree who reviews errors and prove that retrying does not create a duplicate transaction.

QUICKBOOKS DESKTOP ENTERPRISE FAQ

Practical questions before you connect.

We confirm the QuickBooks product, company-file environment, version, edition, inventory sites, user access, and document workflow before implementation.

What does the QuickBooks Desktop Enterprise integration do?+

inSitu Sales connects approved QuickBooks Desktop Enterprise data with mobile field sales, DSD, delivery, inventory, and B2B ordering workflows. It helps distributors extend customer, item, pricing, inventory, sales-order, invoice, payment, and return processes beyond the office.

Can inSitu Sales be used for QuickBooks Desktop mobile invoicing?+

Yes. Authorized reps can use inSitu Sales for QuickBooks Desktop mobile invoicing while working online or offline. They can create eligible sales orders or invoices, review assigned balances, record payments and returns, and synchronize approved transactions through the configured QuickBooks Web Connector workflow.

How does inSitu Sales connect to QuickBooks Desktop Enterprise?+

The integration uses QuickBooks Web Connector to exchange approved data between the QuickBooks Desktop company file and inSitu Sales. Web Connector runs where the company file is locally available, and the exact schedule, mappings, and ownership rules are confirmed during implementation.

Is the QuickBooks Desktop Enterprise connection two-way?+

The overall integration supports data moving in both directions, but not every record or field is bidirectional. Confirm object-specific directions, timing, conflict rules and ownership for your company file before launch.

What information can synchronize?+

Depending on your QuickBooks edition and inSitu configuration, records can include customers, items, price levels, multiple inventory sites, bin locations, lot numbers, expiration dates, estimates, sales orders, invoices, payments, credit memos, inventory transfers, purchase orders, item receipts, and inventory adjustments.

Can field reps create real sales orders for QuickBooks Desktop?+

Yes. The inSitu Desktop connector supports eligible native QuickBooks Desktop Sales Orders, subject to the approved configuration. The current inSitu Online connector instead sends eligible orders as Estimates when that setting is enabled.

Do field reps need access to QuickBooks Desktop?+

No. Reps work in inSitu Sales rather than opening the QuickBooks company file. You control which customers, products, price levels, inventory sites, balances, invoices, and routes each user can see.

Can reps work without internet?+

Yes. Assigned data and eligible field activity can be available offline on the mobile device, then synchronized after connectivity returns. Offline availability depends on the configured workflow and user assignments.

Can reps take payments and process returns?+

Authorized users can review eligible open invoices, record customer payments, and document returns with reasons. Supported workflows can create the related payment or credit memo records for synchronization.

Does the integration support advanced inventory features?+

Yes. Supported QuickBooks Desktop Enterprise workflows can include multiple inventory sites, bin locations, lot numbers, expiration dates, inventory transfers, purchase orders, item receipts, and inventory adjustments. Availability depends on the QuickBooks Desktop Enterprise edition and the approved integration configuration.
